Q1. What data can be migrated from BrightPay Desktop to BrightPay Cloud?
When importing an employer from BrightPay Desktop to BrightPay Cloud mid-year, your employer and employees’ details will come across, as well as pay elements, pensions, payslips, benefits in kind and reports, along with the pay periods you’ve updated in the current tax year.
Please note, each user in the Organisation will need to re-enter the ROS Certificate to BrightPay Cloud.
To do this, just click on the Settings icon in the top right corner, then go to the Submissions section.
Q2. Can I import my employers in batches to BrightPay Cloud?
Yes, you can import all your employees to BrightPay Cloud or import them in the batches. Please note that you can import up to 10 employer files per batch.
Q3. Can I use BrightPay Connect with BrightPay’s Cloud software?
No, BrightPay’s Cloud software and BrightPay Connect are two separate products. BrightPayConnect is designed to work with BrightPay Desktop only.
The Employee Self Service Portal, Manager Portal and Client Portal are included as standard features with BrightPay Cloud. For more details, click here
Q4. If I import my employer now to BrightPay Cloud and apply some changes in BrightPay Desktop, will they be available in BrightPay Cloud?
No, BrightPay Desktop and Cloud are two separate packages. Any changes made in the desktop version would need to be replicated in BrightPay Cloud in order to bring that system up to date.
Q5. How many team members can I add to my organisation in the cloud?
You can add unlimited team members to your organisation. We have 4 types of team members – owner, admin, payroll processor, and billing.
Q6. I have 2 payrolls in BrightPay Cloud, but I don’t want my co-worker to see our in-house payroll. What can I do?
You can mark your in-house payroll as a ‘Required admin role’ and add your co-worker as a payroll processor in BrightPay. The payroll processor can’t see the employers marked as ‘Required admin role’.
Q7. Do I need to invite my employees and users to the new portals in BrightPay Cloud, we are currently using BrightPay Connect?
BrightPay Connect and BrightPay Cloud are two separate products.
When you are migrating your employer from BrightPay Desktop to Cloud, the Employee Self Service Portal is enabled by default. However, we recommend sending the invitation email to employees.
To review the settings and/or disable the portal, go to the Employer tab> Employee Portal> Settings.
A Team Member on the Organisation can access the employer(s) on the Client Portal without additional set up.
You would need to set up users that are not team members on the Organisation only.
Q8. Can I import previous years' data files from BrightPay Desktop to Cloud?
We do not recommend importing previous years' data files to BrightPay Cloud.
For example, if you are moving from BrightPay Desktop to BrightPay Cloud in the 2026 tax year, you will import your employer file for that particular tax year and not the 2025, 2024, etc. tax year versions.
If you need to access data from the previous tax years, you will still retain your BrightPayDesktop license for any tax years versions you have purchased, so this information will always be accessible via BrightPay Desktop.
If you use BrightPay Connect, you can import the historical payslips and HR Resources from BrightPay Connect to BrightPay Cloud.
Q9. Can I save the backup from BrightPay Cloud to my computer?
There are no backups available as it is Cloud based software; however, you won’t need to save to your computer as it’ll be securely saved online.
Q10. Once I import my data to BrightPay cloud, will I still have access to my historic data from previous tax years?
Yes, you can access the data from previous tax years on BrightPay Desktop.
Q11. Will I see that there is another user in the company at the same time?
Yes, you will be able to see which user is in the company at the same time as you and what they are working on.
Q12. Can I have two monthly payroll schedules with different cut of dates?
Yes, in BP Cloud you have multiple schedules with different period endings for the same payment frequency.
Q13. Is the Employee Self Service Portal enabled by default in BrightPay Cloud?
Yes, the Employee Self Service Portal is enabled by default in BrightPay Cloud. We recommend reviewing the Settings in the Employer tab> Employee Portal.
If you don’t wish to use the portal, you can disable it.
Q14. What is the maximum number of employees allowed in BrightPay Cloud
BrightPay’s Cloud is currently restricted to 300 employees (including leavers) however, if your employees' number is around 300 or more, please contact our sales team – brightpaysales@brightsg.com
Q 15. I’m using BrightExpenses in BrightPay Desktop. What do I do when I move to the cloud?
Once you move to BrightPay Cloud, you need to log in to BrightExpenses from BrightPay Cloud only.
Q 16. How long will my employees and users be able to access the Connect portal?
If you migrate to BrightPay Cloud, your employees and users will retain access to BrightPay Connect for two years at no additional charge, until 31st December 2028.
If you choose not to transition to BrightPay Cloud, access to BrightPay Connect will end on 30th April 2027.
