BrightPay Does Not Automatically Pro-Rata Periodic Salaries
BrightPay will not automatically calculate or reduce a periodic salary (weekly, monthly, etc.) based on a start date or leave date. If an employee starts part-way through a pay period or leaves mid-period, you must manually calculate and adjust their salary for that period.
For New Starters:
BrightPay will process the full salary amount you have entered, regardless of when the employee started. The start date is recorded to inform Revenue of the start date and for automatic enrolment duties, but it does not trigger automatic salary adjustments.
What you must do:
- Calculate the pro-rata'd salary manually
- Example: Monthly salary €2,000, employee started on the 15th of a 30-day month = 50% = €1,000
- Enter the adjusted (pro-rata'd) salary in the first pay period
- Enter the full salary from the second period onwards
For Leavers:
Similarly, BrightPay will not automatically reduce a salary based on the leave date. If an employee leaves mid-period, you must manually calculate and adjust their final pay.
What you must do:
- Calculate the pro-rata'd salary for the final period
- Example: Weekly salary €500, employee leaves on Wednesday (3 days worked out of 5) = 60% = €300
- Enter the adjusted (pro-rata'd) salary in the final pay period
- Ensure the correct leave entitlements, such as owed holiday pay are also added to the payslip
The responsibility is entirely on the payroll processor to calculate and manually adjust periodic salaries for starters and leavers. Ensure manual calculations are correct to avoid overpayments to both new starters or leavers.
