Batch processing of annual leave is facilitated in BrightPay in a number of ways:
- users can record a number of separate annual leave dates for the same employee at the same time
- users can record a single annual leave date for multiple employees at the same time
- users can also record a number of separate annual leave dates for multiple employees at the same time
a) To record a number of separate annual leave dates for the same employee at the same time
- Click 'Employees' and select the required employee from the listing
- Select 'Calendar' on the menu toolbar to display the employee's calendar on screen
- Click to select the first day of leave, then drag your mouse to the last day of leave.
- Next, choose the Annual Leave option on the right-hand side to save it as annual leave.
- If the selected date range is longer - you can choose to either "Only apply to the Working days" or "Convert selected non-working days to working days"
b) To record a single annual leave date for multiple employees at the same time
- Click 'Employees' and select a relevant employee from the listing
- Select 'Calendar' on the menu toolbar to display the chosen employee's calendar on screen
- Select the leave date you wish to record as annual leave
Next, click the drop down arrow on 'Annual Leave' on the right hand side of the calendar, followed by 'Set for Multiple Employees...'
- Select the employees for whom you wish to record the same annual leave date and click 'OK'
- The selected leave date will now be recorded on each applicable employee's calendar as annual leave
c) To record a number of annual leave dates for multiple employees at the same time
- Click 'Employees' and select a relevant employee from the listing
- Select 'Calendar' on the menu toolbar to display the chosen employee's calendar on screen
- Click to select the first day of leave, then drag your mouse to the last day of leave.
Next, click the drop down arrow on 'Annual Leave' on the right hand side of the calendar, followed by 'Set for Multiple Employees...'
- Select the employees for whom you wish to record the same annual leave dates and click 'OK'
- The selected leave dates will now be recorded on each applicable employee's calendar as annual leave
Unsetting annual leave dates for multiple employees
- Should you wish to unset an annual leave date (or dates) that have been assigned to multiple employees, simply follow the instructions for either b) or c) above, depending on your requirements, but instead select 'Unset for Multiple Employees...' at Step 4.
Please note, the feature for setting leave types or working / non-working days can be applied globally to multiple employees. Under each leave type there is an option to 'set for Multiple Employees'.
Adding leave or making days working / non-working days can all be done in batch as above - ie to add leave for all bank holidays for all employees on a certain date.
Note: In BrightPay Cloud, when you need to book holidays for all employees - such as bank holidays or annual leave - you can use the batch processing feature for annual leave.
This allows you to record bank holidays, company holidays, or regular annual leave for groups of employees in one operation.
